BOOKING PROCEDURES FOR KILIMANJARO JOINING GROUPS

Thank you for choosing Pamoja Kili Safaris for your Mount Kilimanjaro adventure. Please read the booking procedures and cancellation policy carefully before confirming your reservation. ________________________________________

1. Booking Request

All booking inquiries and reservations should be made through our official website: www.pamojakilisafaris.com or Our contact details as listed on our website . ________________________________________

2. Group Representative Responsibility

The person making the booking on behalf of the group confirms that they are authorized to act for all participants listed in the reservation. In the event of non-payment by any participant, the primary contact person accepts full financial responsibility for the booking. ________________________________________

3. Itinerary & Quotation

After receiving your request and confirming your preferred program details, we will provide:
• A detailed itinerary
• Tour inclusions and exclusions
• Total tour cost quotation

4. Booking Confirmation & Deposit

Once the itinerary and pricing are agreed upon, we will send:
• A booking contract
• Official invoice
To secure your booking, the following deposit is required:
• Kilimanjaro Joining Group: USD 150 per person
• Private Safari Tours: 30% deposit of the total tour cost

5. Reservation Confirmation

Upon receipt of the deposit payment, we will:
• Confirm your reservation
• Issue a formal booking confirmation voucher

6. Balance Payment

The remaining balance can be paid:
• Before the tour start date, or
• Upon arrival in Tanzania

7. Deposit Requirement for Joining Groups

A minimum deposit of USD 150 per person is required to confirm participation in a Kilimanjaro joining group.
Failure to make the required deposit before departure may result in cancellation of the booking.

8. Late Bookings

Late applications and last-minute bookings will be accepted only if accommodation, transport, and park availability permit.

9. Guaranteed Departure

Our Kilimanjaro joining groups are guaranteed departures. If the group does not reach the expected maximum number of participants, the climb will still operate — even for a single participant — without any additional charges.
All operational costs and staff tipping arrangements required for the tour operation will be managed by the company.

CANCELLATION POLICY

1. Kilimanjaro Trek Deposit Policy

The deposit paid for Kilimanjaro trekking tours is non-refundable. However, the deposit may be transferred to another joining group departure within the same year or the following year, subject to availability.

2. Travel Companion Cancellation

If one member of your group cancels their participation, their paid amount may be transferred to another participant in the same booking, provided we receive written authorization from the original participant.

3. Postponement Policy

If you decide to postpone your tour, your deposit may be applied toward a new travel date, depending on availability and any applicable adjustment costs.

4. Full Payment Refund Policy

If you choose to pay the full tour amount before arriving in Tanzania, the payment is fully refundable up to 7 days before the tour start date.
For cancellations made within 7 days of the tour start date, refunds will be processed after deducting:
• National park fees already paid
• Hotel cancellation charges
• Any other non-recoverable operational expenses

6. Company Cancellation Rights

The Company reserves the right to cancel any tour due to unavoidable circumstances beyond its control.
In such cases, all payments received from the client will be fully refunded. This refund shall constitute the Company’s sole liability, and no additional compensation or claims for damages shall apply.
